Shared mailbox options for multiple employees in G Suite

About having multiple different email addresses, from multiple locations, sending email as the same alias, or if it looks like the same person. And, this is something that's pretty common in the IT industry, as an example of a business that wants to send and receive emails from a common email address, to their customers. So, that might be, support@surajb.com, for us our email addresses helpdesk@techcloudsuraj.com. But, we have 15 staff who send and receive from that email address. 

 

Now, how do we get that setup? At the very basic level, you can achieve this within the G Suite. And, Google has a few different ways of conceptualizing how email happens. Now, in G Suite, each human has generally a bucket of email, and we call a mailbox a bucket of email, because that's one place that email can go. And, for some businesses they would like to have a shared bucket.

 

So, that might be info@, or support@, or all@, and you might want multiple people to access that bucket. Now, we do that inside of G Suite, with a tool called mailbox delegation. And, with mailbox delegation, we set up the support bucket of email. And, with that support bucket of email, multiple other people can see into that bucket. And, when they see into that bucket with their own accounts, they can send and receive email as if they were support@surajb.com So, that's the most basic way to Set things up, and you can do all of this in one Google account. And, it's great for maybe, info@, or inquiries@, or support@, if you are doing a low volume of email.

 

If you are a business that probably has a customer service element to the business, or you are someone like us and you are working with a high volume of customer responses, you can use a third-party system to manage them. Can consider using. Inquiry. Now, when we start talking about ticketing systems, people often think about, you know, old school IT systems, where you have a number, and you know, you get auto responses. , And it sounds great, let's say, humanized, you know, really should be on the receiving end of those types of systems. And, businesses that have given poor customer support are thrown into the same bucket as any business that uses a ticketing system.

 

Now thankfully modern ticketing systems allow you to turn off auto responders, and basically make them look as if it is sending and receiving emails. And, each of those solutions allows you to set up a common mailbox, where you can send and receive emails directly from each of your employees and from your customers, without your customers knowing that you need that kind of centralized approach.

 

How does it work in the Google world? If you want to use the same kind of setup inside a Google account and you have just one bucket email outside of Google, you can use strings, you can use labels, and some others within Gmail There are features that will allow you to set up a proxy ticketing system inside your Google bucket of email. So, this is definitely a way to do it. And, using delegated mail, you can then set it up so that many people in your business have access to it. Now, we would recommend that every human in your business has their own personal account, along with their personal name.

 

The one that allows you to do this is see who accesses files, who is sending email and who is accessing the various resources in your business. We would not really recommend you to share a mailbox. So, if you're probably a healthcare clinic, and you have a front desk reception, we wouldn't really recommend having a reception account that 10 different people are accessing, because if something in that account Happens, if there is a data breech, if something changes, if someone sends the wrong email to the customer, you want to know who it was. Now, from time to time, some customers will say, this is not really compliance. To share any account, because you are not doing your due diligence properly, and locking the accounts.
