The average mailbox size of Microsoft 365 is 50 Gb and the highest mailbox size is 100Gb
So what happens when a mailbox contains more than 50 GB or 100 GB of data?
Well for this, Microsoft has provided an in-place archive where you can base your mail On retention policies.
Here we will discuss the archival process, retention tag and retention policies. First we need to know what are the Retention Tag and Retention Policies.
From which day to decide the retention tag, you want to move your email to the archive box.
Like if you want to keep 3 years of mail in your inbox and transfer the remaining emails to it
Archive, then you need to set a rule to transfer all emails that have come before 3 years Archive, This is a retention tag.
Now the retention policy holds the retention tag like a formula. You need to add a retention
First tag under retention policy.
You cannot add a retention tag directly to a mailbox, but you can add a retention policy to a Mailbox.
For retention tags and retention policy:
1. Go to admin.microsoft.com
2. Go to Microsoft Admin Center-> Exchange Center
3. Go to Compliance Management-> Retention tag and add that tag to the retention policy.
Once done, you now need to enable archiving for the particular mailbox.
For that, you have to go to Exchange Admin Center-> Recipient-> Mailbox Search Users Now.
Double click on the user account and go to "Mailbox Features".
From the first right panel, select the retention policy that you have created.
Now scroll down and find the Archive option and enable it.
Your collection is now enabled.
You will find a "Place Archive" folder in your mailbox.
** Note that it can take 3-10 days to archive and work using a fully functional mailbox. **
